Summary of the role
Supporting the operations management, you will effectively plan, control, and monitor service delivery within Service and Maintenance through the business CAFM and telephone system. You will be integral to ensuring that central processes and functions are provided to all staff, and are done so in a safe, efficient, and professional way. Liaising with the operations managers, you will be responsible for managing and prioritising your workload, while following processes for central operations, safety, quality, and environmental aspects of the business's daily activities, ensuring that the data you are responsible for is captured in the systems in a timely fashion.
Job summary
Responsible for liaising between operations managers and the service coordinators to ensure works are scheduled correctly while meeting the SHEQ requirements.
Preparing quotations for operational managers.
Ensuring that the quotations are dealt with as per internal processes and SLA’s
Establish processes for auditing completion of work through to invoicing.
Monitoring of work in progress
Regularly reviewing the skills matrix of the team and coordinating course bookings with the service coordinators
Regularly reviewing the asset matrix of the team and coordinating maintenance.
Regularly reviewing accreditations and coordinating CPD and compliance actions.
Regularly reviewing internal audit procedures and coordinating compliance.
Manage arrangements for subcontractors and suppliers to ensure efficiency and compliance of work.
Monitor customer satisfaction
Prepare regular reports to operational management to consolidate performance and identify areas of focus to mitigate risks and drive improvement.
Ability to problem solve live operational situations and advise management or escalate issues clearly articulating the problem
Job Overview
Building relationships with clients, service coordinators, engineers, and management through a polite manner and organised delivery and coordination of verbal and written communications between parties.
Monitor operational progress through SLA’s and KPI's and effectively communicate the status to managers and at requested intervals.
To implement business processes and assign deliverables to achieve, monitor and report on progress to your manager, while filtering key information down to operational departmental management.
To support the mentorship and progression of the growing team of administrators, championing best working practices and the critical focus on efficient, safe, and ethical ways of working.
Achieving key goals and objectives set by your line manager.
You will be based at head office and visits to sites as per operational requirements.

Essential Skills:
Proven work experience in the Facilities management industry (5 years plus)
Good PC skills, especially CAFM software systems and their continuous improvement
VOIP telephone system skills
Excellent communication and teamwork skills
Organisational and time-management skills
Desirable skills
Good general HVAC knowledge
